Policy on picking up the finished job

We have a policy that when a customer picks up the finished job and inspects it we have them sign the bottom of the invoice. This tells us that they have agreed that the framing is correct and of course looks great! What we haven't done is put a disclaimer about damaged originals works of art. Recently a customer picked up her framed oil painting. She called the next day to say we had scratched the center of the oil. All four of us at the gallery are sure it did not happen at our shop. I am still waiting for her to bring it back for me to see. She wants to send it back to the Artist for repair. I do not know yet what we will agree to. I know I will be asking the value of any original art at the time we take the framing order and now will have that signed too.
 
Boy, we always have to learn these lessons the hard way, don't we? We now have a condition report that we fill out unless the piece is absolutely pristine. It takes a liile longer, but I feel lots better. It also seems to reassure the customer that we are concerned about pre-exiting damage. Since we have started using these, we haven't had one customer complaint about damage that suddenly appeared. It is my opinion that what generally happens in these cases is that the damage was already there, but moving it from horizontal to vertical causes it to become more apparent...
 
Paul MacFarland gave a class in Vegas this year on Practical Preservation and included with the class he handed out four specific condition report forms based on the type of work at hand. Possibly you can contact him and receive copies of these unless anyone out there has information on where these are published. I do think he did an article in PFM that had these as well, I just do not remember the date. Hope this helps.
